As part of a small, hands-on collaborative team, this position is responsible for managing the coordination and implementation of firm-wide special events. The Client Events Manager’s primary responsibility is project management and delivery of events that highlight and reinforce the Ballard brand. The Client Events Manager oversees and implements events best practices, timelines, budgets, reporting, and process improvement initiatives. This position interacts with attorneys, directors of practice management, IT and legal administrative assistants to coordinate and complete projects.
The incumbent must be incredibly service-minded with a penchant for processes and problem solving, and have the ability to work independently and maintain a focus on priorities while meeting strict deadlines. A collaborative, consultative, inclusive working style is paramount. Similarly, relationships and the ability to quickly grasp the subtler elements of the firm’s culture are essential. A strong sense of urgency and eye for detail are required. This position is located in Philadelphia but other Ballard locations will be considered.
· Independently plan and manage a substantial portfolio of events that are executed to the highest standards from conception through execution and post-event close-out. Oversees and assigns responsibility for all practice group or legal department events.
· Work with the firm’s client relationship management (CRM) system to pull relevant database contact and event lists/reports. Maintain report and export templates within the CRM when necessary.
· Coordinate the creation of invitations and event follow-up communications; oversee mailing lists and distribution; manage responses via CRM database.
· Coordinate the production of companion presentation materials; oversee collection of materials, compilation and printing.
· Handle all trade show logistics, including the transport and set up of materials and trade booth promotional items.
Other essential functions: consult on the development of marketing event budgets; create, adhere to, and review event plans, budgets, and timelines; conduct venue research and prepare information in event proposal; maintain relationships with potential vendors and venues and proceed to contract/process payment when applicable and coordinate request for CLE credit for all applicable seminars and webinars. In consultation with relevant Business Development Manager and Communications Writer, you will also develop event’s social media outreach plan and schedule posts.
The ideal candidate will demonstrate independent judgment, strategic and diplomatic thinking and have the ability to resolve complex issues taking a proactive approach to analyze the problem and generate solutions. A proven track record of successfully working in an environment that requires buy-in and engagement of senior management or partners and working across locations. The ability to handle multiple projects and deadlines, combined with a strong work ethic and a team player attitude are indispensable.
Requirements include a college degree with 5+ years’ of prior event planning experience in professional services marketing; excellent writing, editing, communication (oral and written), project management, interpersonal, and analytical skills; strong computer proficiency a must, with particular knowledge of Interaction a plus. Significant business knowledge and experience; and a superior client service attitude. Experience working with multi-location teams, e.g., multi-office initiatives and leveraging centralized sources. Significant travel will be required.
