Events Assistant - Philadelphia

Reports to: Marketing Operations Manager

Responsibilities:

Ballard Spahr LLP is seeking a detail-oriented Events Assistant to support the Marketing department’s event function and special initiatives. In addition to effectively executing a range of tasks, the ideal candidate will have a strong desire to grow in the position, be proactive and support the team, contribute ideas, and anticipate any obstacles or opportunities; acting with a sense of urgency and personal responsibility. This position will support the Client Events Team, report to the Marketing Operations Manager and will be located in the Philadelphia office.

Responsibilities include but are not limited to creating event budget templates, researching event venues and vendors within defined event design and scope, managing the administrative support such as maintaining event materials and supplies, event attendance, databases, reports, calendars and the department’s central library of event marketing collateral.

The ideal candidate will possess excellent communication and organizational skills, stellar interpersonal skills and be a collaborative team player with strong service orientation and work ethic.  The incumbent will use sound judgment and analytical skills to identify solutions to challenges as they arise, and will possess the ability to synthesize and communicate complex subjects clearly and concisely. The ability to handle multiple projects and deadlines are indispensable.

Qualifications:

Requirements include a college degree in a relevant area; 1-2 years’ of prior event planning experience preferred; and excellent writing and editing skills with knowledge of grammar, style, and spelling.  Strong computer proficiency a must, specifically with Microsoft Word, Excel, and PowerPoint.  The ability to work overtime on occasion.
