Marketing Assistant in Philadelphia

Ballard Spahr LLP, a national law firm with 15 offices across the country has a terrific opportunity available for a marketing professional with a strong service orientation and work ethic to join our marketing team in the Philadelphia office.  The Marketing Assistant will provide marketing, project, and administrative support for the department’s essential functions and special initiatives. In addition to effectively executing a range of tasks, the ideal candidate will have a keen attention to detail, strong desire to grow in the position, be proactive in support of the team, contribute ideas, and anticipate any obstacles or opportunities; acting with a sense of urgency and personal responsibility.

The selected individual will assist the Senior Marketing Operations Manager and Senior Marketing Coordinator with department organizational, document management, reports, and other infrastructure routine responsibilities and projects.  Assist with maintenance of the department's central library of work product; update Marketing Handbook as necessary and handle new hire training.  Be responsible for the Marketing Department intranet page, process all department invoices and check requests for accounting, and maintain internal department log and documentation. Provide support in preparing client data reports, assist in identifying and coding clients’ industries and assist with firm-wide directory and survey compilations and analysis.

Additional responsibilities include providing administrative support to the Chief Marketing and Business Development Officer in the following ways:

  • Be responsible for calendar and all scheduling
  • Coordinate all work travel arrangements and logistics
  • Handle monthly credit card reconciliation requests
  • Assist with department meeting scheduling and set-up (training, new hire onboarding, etc.).


The ideal candidate will possesses stellar interpersonal skills and be a collaborative team player with strong service orientation and work ethic.  The incumbent will use sound judgment and analytical skills to identify solutions to challenges as they arise, and will possess the ability to synthesize and communicate complex subjects clearly and concisely.  Most importantly, the marketing assistant will have a strong desire to grow in the position, be proactive in support of the team, contribute ideas and act with a sense of urgency and personal responsibility.

Requirements include a college degree with 1-2 years’ work experience - corporate or professional services experience a plus; excellent writing and editing skills with knowledge of grammar, style, and spelling; proficiency in Microsoft Word, Excel, and PowerPoint and the ability to work overtime as needed.
