Client Events Manager

Company: Ballard Spahr LLP
Location: Philadelphia, PA

Responsibilities:

As part of a small, hands-on collaborative team, this position is responsible for managing the coordination and implementation of client events firm-wide. The Client Events Manager’s primary responsibility is project management and delivery of digital and in-person events that highlight and reinforce the Ballard brand. The Client Events Manager oversees and implements events best practices, timelines, budgets, reporting, and process improvement initiatives. This position interacts with attorneys, directors of practice management, IT and legal administrative assistants to coordinate and complete projects. The Client Events Manager will have supervisory responsibility for the event specialists, coordinators and assistants. This position is located in Philadelphia; however, other Ballard locations will be considered.  

The incumbent must be incredibly service-minded with a penchant for processes and problem solving, and have the ability to work independently and maintain a focus on priorities while meeting strict deadlines. A collaborative, consultative, inclusive working style is paramount.  Similarly, relationships and the ability to quickly grasp the subtler elements of the firm’s culture are essential.  A strong sense of urgency and eye for detail are required.  Heavy travel required. 

Responsibilities include:

  • Independently plan and manage a substantial portfolio of events that are executed to the highest standards from conception through execution and post-event close-out.
  • Train and manage a team of event planners, including implementing strong best practices, and provide coaching and mentoring to junior members of the team.
  • Create event plans and timelines, in consultation with event stakeholders, work with relevant Ballard departments on event logistics, consult on development of event budgets, work with the firm’s client relationship management (CRM) system and develop an overall communication strategy for each event.
  • Coordinate request for CLE credit for seminars and webinars, when applicable, manage sponsorships with outside organizations, and offer unique and novel event ideas, both in-person and virtual, where appropriate.
  • Conduct detailed post-event evaluation and follow-up.

Qualifications:

The ideal candidate will demonstrate independent judgment, strategic and diplomatic thinking and have the ability to resolve complex issues taking a proactive approach to analyze the problem and generate solutions. A proven track record of successfully working in an environment that requires buy-in and engagement of senior management or partners and working across locations. The ability to handle multiple projects and deadlines, combined with a strong work ethic and a team player attitude are indispensable.

Requirements include a bachelor’s degree with 5+ years’ of prior event planning experience in professional services marketing; excellent writing, editing, communication (oral and written), project management, interpersonal, and analytical skills; strong computer proficiency a must, with particular knowledge of Interaction a plus.  Significant business knowledge and experience; and a superior client service attitude. Experience working with multi-location teams, e.g., multi-office initiatives and leveraging centralized sources. Significant travel will be required.
